Administer Workforce

PeopleSoft HCM Administer Workforce provides the foundation for the organizations Human Resource Management system. The data entered into the Administer Workforce is available to all of the PeopleSoft HCM business processes.

Adding a Person: 
Add a Person component is used to create a new Person in PeopleSoft HCM. Person IDs can be assigned either manually or by allowing the system to use automatic ID assignment using Last Assigned ID on Installation Table.
Note: Entering Person ID manually is the only way to create a Person ID with alphabetical characters.  
Biographical Details page is used to enter Name, Biographical Information (Birth Date/Country/ State/Location, Gender, Education, Marital Status, and Preferred Language) and National ID values.
Note: European community employment and personal privacy legislation specifies that personnel information can’t be passed across countries in the European Union without authorization from the employee. Waive Data Protection check box is used to specify if employee’s consent is obtained to share personal data with users in other European Union member nations. 
Contact Information page is used to enter address, Phone and Email information.
Regional page is used to enter personal information that is country-specific, such as military status, smoker history, ethnicity, religion, and so forth.
Organizational Relationships page is used to select an organizational relationship (employee, contingent worker, or POI) and checklist to be created for this person.
Note: Data access for POIs without jobs is primarily controlled by POI type. Add a POI Relationship component is used to set up and maintain a person of interest's POI type and security access keys. 

Adding a Job Instance: 
Add Employment Instance component is used to add a new Job Data record for the Person.
Work Location page is used to enter position and location information for a person's job, including the regulatory region, company, department, and location.
Job Information page is used to enter information about a person's job, including Officer Code, employee class, shift, or standard hours and Contract.
Job Labor page is used to enter National Labor agreement data if the employee or contingent worker belongs to a National Labor agreement.
Payroll page is used to enter payroll processing data. The payroll system and pay group information entered on this page affects compensation processing on the Compensation page.
Salary Plan page is used to enter information about a person's salary plan, if applicable.
Compensation page is used to enter the person's compensation details.
Note: Default Pay Components button is used to insert pay defaults that may be provided from a salary plan, job code, or other source. Calculate Compensation button is used to recalculate the person's compensation without entering or replacing any default values. 
Benefit Program Participation page is used to specify the employee’s Benefit System and Benefit Program.

Creating a Person Checklist:
Person Checklist component is used to create checklists for processing employee hires and perform other administrative tasks effectively. Standard checklists present in the Checklist table can you be used directly or modified based on specific employee processing requirements.

Adding Additional Assignment:
PeopleSoft HCM enables to keep complete job information about employees who hold more than one job at a time in an organization. PeopleSoft HCM security needs to be setup to allow employees to have multiple jobs to an employee’s employment record.
Add Additional Assignment component is used to review employee's assignments and access the Concurrent Job Data component to create new assignments.
Note: Effective Sequence field is used to track multiple administrative actions performed on the same day. 

Departmental Transfers: 
Department transfers occur when an employee is assigned to a new department without any change in job codes. When a transfer occurs, the salary grade or compensation usually remains the same.

FTE Changes: 
Full-time equivalency (FTE) indicates the percentage of time that an employee works in a job. The application calculates FTE based on the standard hours for a particular job and on the work period. However, FTE value can be overwritten. The application displays a warning message if the value entered is more than one.

Tracking Leave of Absence: 
A leave of absence is an extended period of time when an employee is not present at work. A leave of absence can be paid or unpaid.

Entering Terminations/Retirements: 
When the employment relationship ends for any reason other than retirement, whether voluntary or involuntary, it is called termination. When an employee is terminated, his or her benefits change, payroll stops processing checks, a new job requisition is created, and many other processes are either initiated or stopped.

Entering Deaths: 
When entering a death use the Work Location page to enter the effective date. The system treats the effective date that you enter as the day the termination starts and the first day that the worker is no longer paid. Date of death field on employee’s Personal Data is updated with the day before the termination date.
The Employment Information page displays the termination effective date as the termination date, and the day before the termination date as the date last worked. The system uses these dates and the effective date in payroll processing and reporting.

Entering Rehires: 
An individual who worked for the company in the past and whose employee data exists in PeopleSoft HRMS can be rehired. If the employee data was deleted or archived, the individual cannot be rehired. Only those employees whose employee status is Terminated, Terminated with Pay, Terminated with Benefits, Retired, or Retired with Pay can be rehired.

Entering Pay Increase: 
Pay Increase for an employee can be done using Comp Rate Codes, or Change Percent, or Step Progression.
