Administer Workforce - Additional HR data

Creating Employee Contracts:
Entering a contract involves adding or updating basic information about the contract between the organization and an employee. It also involves updating or adding any special contract clause information to the standard contract language for the employee. Finally, to enter a contract, an individual in the organization is designated the responsibility for maintaining the employee's contract information.
Contract Status/Content page on Update Contracts component is used to add or update basic information about the contract between your organization and an employee, including the contract duration, template, type, and content.
Contract Type/Clauses page is used to update or add any special contract clause information to the standard contract language for this employee.
Signature Date/Probation Info page is used to view basic employee job data and designate the individual in your organization who is responsible for maintaining the employee's contract information, the signature date, and so on.

Entering Additional Names:
Add a Person component creates a primary name for the person. PeopleSoft HCM enables organizations to track other name types such as legal, preferred, maiden, or some other name for the person in the Additional Names component.

Entering Disability and Accommodation Requests:
Disability page on Disability component is used to indicate if a worker is disabled and record details of the disability.
Accomm Request page enables organizations to enter accommodation requests of an employee or applicant. Responsible person to provide the accommodation is stored on Responsible ID field. Diagnosis codes can also be entered for employee disabilities on this page.
Accomm Option page enables organizations to enter the options that the organization or the person with a disability is considering in order to resolve each accommodation request.
Accomm Job Task page is used to enter the job tasks that the organization is accommodating, classified by job code or location. If essential job tasks are created in the Job Code Task Table, multiple job tasks can be entered for each accommodation.

Entering Beneficiary and Dependent Information:
Dependents, such as spouses, domestic partners and their children may also be eligible for benefits. This includes information, such as whether the dependent or beneficiary is eligible for such benefits as accompanying an employee on an international assignment or on international travel.
Name page on Update Dependent/Beneficiary component is used to enter dependent and beneficiary name information.
Note: The system assigns the Dependent/Beneficiary ID. Although this value can be changed, duplicate IDs for dependents or beneficiaries of the same employee cannot be used.
Address page is used to entered address and contact phone information for the dependent or beneficiary.
Personal Profile page is used to enter personal data for the dependent or beneficiary along with relationship to the employee and Dependent Beneficiary Type.
Note: Dependent Beneficiary Type field is used to select whether this person is a dependent, a beneficiary, or both.

Entering Emergency Contact Information:
Contact Address/Phone page on Emergency Contact component is used to enter names, addresses, and primary phone information of people who should be informed in the event of an employee emergency. Relationship to Employee list is used to select an option that indicates the contact’s relationship to the employee.

Entering Identification data (Citizenship/Passport/Visa):
PeopleSoft HCM enables organizations to track identification data of their employees. Identification data includes passport and visa information.
Note: Visas/Permits should be setup before entering Visa Information for employees. 
Visas/Permits page is used to define visas, permits, and associated supporting documents that governments require for noncitizens to work in the countries where your organization does business.
Citizenship/Passport page is used to track passport and citizenship information for employees. Also, multiple countries of citizenship and multiple passports for employees and their dependents can be entered.
Note: Citizenship Status list is used to select the employee’s citizenship status. Employee's birth country and country of citizenship can be different.
Visa/Permit Data page is used to enter visas and permits information required for employees to live and work in the countries where your organization has operations.
Employee Photo page is used to store employee’s photos.

Managing Driver’s License Information:
Entering driver license data involves recording an employee's license number and details of an employee's driving record. Driver's License Data page is used to enter driver’s license information.

Entering Bank Account Information:
Accounts page is used to record information about employee bank accounts. This information is used to track employee direct deposit information. The system creates an account ID when you enter a new bank or building society account for an employee. This field is for information only.
Note: Bank branch or building society needs to be setup on the Bank/Branch Table page before entering an employee's bank details.

Tracking Prior Work Experience:
Tracking prior work experience involves entering the details of an employee's previous employers and jobs.  
Prior Work Experience page is used to enter past work experience of an employee.
If applicant is tracked through the Recruiting Employees business process, the information entered for an applicant becomes part of their employee record when hired. For other employees, entering this information helps to establish a complete employee profile for reporting purposes. It is also useful for career and succession planning.

Maintain Teleworkers:
Teleworker functionality enables organizations to track jobs, positions, and workers that are allowed to work remotely. This is also useful for the organization if local or state tax is based on a person’s typical work location.
Pre-Requisites for Teleworker functionality
  • Identify jobs eligible for telework arrangements. 
  • Identify positions eligible for telework arrangements, if organization uses Position Management. 
  • Specify telework locations.
Telework Status page on Maintain Teleworkers component is used to capture the dates and recurrence information of an employee working remotely. Also, identify if the telework arrangement is due to a permanent or temporary disability.
Location page is used to identify the worker’s actual work location when telecommuting.
Agreement page is used to record how telecommuting equipment and services costs are handled. Status changes associated to a Teleworker request can also be tracked from this page.

Assign Credit Cards to Employees:
Maintain Employee Credit Card component is used to assign company credit cards to employees.

Assign Company Property to Employees:
Company Property component is used to allocate company property like laptop computers to employees.

Tracking Volunteer Activity:
Volunteer Activities page is used to enter information on employee volunteer activities. Track multiple volunteer organizations for employees and multiple start dates with the same organization.

Tracking Military Service Information:
General Availability MIL page is used to enter the details of the service member's availability. This page is also used to enter a compulsory retirement date, if applicable.

Recording Badge Numbers:
Badge page is used to record badge numbers that are issued to employees. Badge Type data needs to be setup on the Translate table before recording badge numbers.

Entering and Submitting I-9 Information for US Employees:
The Immigration and Nationality Act requires United States employers to complete and store I-9 forms.
Employee Information and Verification page under the employee self service menu enables the employee to complete and submit the employee I-9 information. Workforce Administrator can then complete the required employer sections of the I-9 form in the Employer Review and Verification page. The application also provides pages to report and process I-9 information, including notification of expiration dates, storing, printing, and archiving.

Managing Grievances and Disciplinary Actions:
In many countries, some, or maybe all, of the employees are organized under collective labor agreements. This makes labor management a critical element of legally employing workforce.
PeopleSoft Human Resources enables organizations to enter and track labor-related information for each employee. Disciplinary actions taken by organization against employees and grievances filed by one or several people, including employees, applicants, and unions on behalf of several union members can be tracked.
